Dear Recruit Analysts:

Starting Thursday, April 6, 2023, AP Recruit is replacing the two current submission process with a single submission process and changing how people apply for jobs.

Initial Review Date (IRD) and Open/Close/Final (OCF) recruitment types for existing recruitments will not change and can continue to be managed. Starting April 6, they are being replaced by the Review Window recruitment submission process, which has an open date, a review date, and a final date.  A review window is the time when applicants can apply to a recruitment and receive full consideration for the position; it ends with a review date, when the committee will get together to evaluate and review the applications.  Additionally, any recruitments that do not yet have applicants can be changed to the new review window submission process.

With the new launch of review window recruitments, an applicant will now be in control of submitting their application. Applicants can make any changes to their applications that they want, as many times as they want, up until they click the Submit button.  Once an applicant submits, the application is locked. This ensures that the entire committee will be reviewing the same materials, and that no additional changes will be made during the course of their review.

APPLICANT IMPACT
Applicants will continue to use the same tools to log in to their portfolios, provide documents and references, and take the diversity survey but must now hit the “Submit now” button for their status to be marked as “Applied” (replaces “Complete”).  Everything will lock once they’ve submitted and no further changes can be made to their application.

COMMITTEE IMPACT
Committee members will only see submitted applications. Applications will not change once they are submitted.  Applicants with a status of “Applied”, which replaces “Complete”, that were submitted during the review window will be viewable to committee members.  If an applicant submits their application after a review date, it will not be visible to the committee until an additional review date has been added.

AP RECRUIT ANALYST IMPACT
In addition to the “Applied” status, analysts will also notice that the “Draft” status has replaced “Not Complete”.  “Draft” status are those applications that are still in progress and are not visible to the search committee.
