Postdoctoral Titles

Anniversary Date

The anniversary date is the initial hire date – which is, the date of an individuals first postdoctoral appointment at any UC campus. The initial hire date/anniversary date is used for the following:

  1. To establish whether the appointee gets an experience increase in April or October.
  2. Annually, to reset PTO/sick leave accruals.

There are no situations where the initial hire date/anniversary date should be changed.

Postdoctoral Service/Experience

In determining an individual’s postdoctoral service for salary placement and total service duration (not to exceed 60 months), please credit postdoctoral service or other postdoctoral-equivalent mentored research training positions that meet the following definition: An individual who has received a doctoral degree (or equivalent) and is engaged in a temporary and defined period of mentored advanced research and/or scholarly training to enhance the professional skills and research independence needed to pursue the individual’s chosen career path.

Merits

All merits or salary increases that occur on an effective date other than the Postdoctoral Scholar’s anniversary date will require Vice Provost of Academic Personnel approval. A merit or salary increase effective on a postdoc anniversary date will remain delegated to the Dean.

Merit increases are separate from the negotiated salary increase or the step increases based on the appropriate experience salary rate of a Postdoctoral Scholar.  Merit increases can be provided to Postdoctoral Scholars based on documented meritorious performance.

 If a Postdoctoral Scholar receives a mid-year merit increase, s/he will also be eligible for the salary increase upon reappointment or on his/her appointment anniversary date (if on multiple-year appointment), as required by the labor contract.

Layoff/Reduction in Time

Layoff (Article 11 of the Collective Bargaining Agreement) is defined as an involuntary separation, or a reduction in percent effort or duration of appointment for a Postdoctoral Scholar prior to the established appointment end date as a result of appropriate funding becoming unavailable.

Written notice shall be provided to Postdoctoral Scholar at least thirty (30) calendar days in advance of the effective date of the layoff.  When a department is proposing to effectuate a layoff or reduction in time for a Postdoctoral Scholar, the following steps must be followed:

  1. Submit a written request for layoff, including specifying the reason and any supporting document, and a draft layoff notice using the sample layoff notice to the School Dean’s Office.
  2. Dean’s Office will submit the above documents to the Academic Personnel Office for review.
  3. Academic Personnel will inform the School Dean’s Office, which will in turn inform the department, to issue the layoff notice to affected Postdoctoral Scholar.
  4. Academic Personnel will inform the Labor Relations Office, which will be responsible to provide the requisite notice to the UAW.
