Call for Annual Certification of Outside Professional Activities


University of California policy requires that outside professional activities do not interfere with a faculty member’s full-time commitment to the University.

All faculty are required to file an annual certification of outside professional activities each fiscal year, even if the faculty member did not engage in outside professional activities during the year. Faculty must report annually all Category I and II outside professional activities conducted during the prior 12 months, July 1, 2021 through June 30, 2022. The reporting of the annual certification must be completed via the University of California Outside Activity Tracking System (UC OATS).

On Monday, September 5, 2022, faculty will receive the first email notification directly from UC OATS. Following the first email notification, UC OATS will send out an automated email to faculty on the following schedule as a reminder to complete the Annual Certification:

  • September 5, 2022
  • October 5, 2022
  • November 5, 2022
  • December 5, 2022
  • January 5, 2023
  • January 15, 2023

The annual certification is due to the Office of Academic Personnel by January 15, 2023.

Deans and Faculty Administrators (100%) are also subject to completion of the Annual Certification in UC OATS with an earlier deadline in October. Individuals in these titles will receive a separate notification with further details.

As a policy clarification, the following individuals are not required to submit the annual certification for academic year 2021-2022:

  • Newly appointed faculty who started on or after July 1, 2022.
