Recently, UCOP has convened a systemwide workgroup charged with reviewing one-time payments to ensure adherence to policy and promote consistent policy interpretation throughout the system. APM policy requirements about these one-time payments have been in place and have not changed. We are outlining the approval process for these requests to ensure compliance at our campus.

Types of One-time Payments

Honoraria (APM 666)
An honorarium is a payment to an academic appointee for occasional lectures and similar public appearances beyond normal academic responsibilities. Honoraria policy stipulates that academic appointees are not eligible to receive additional compensation for activities that take place on their home campus, unless the activity is a concert, creative work, University sponsored conference or panel.

Faculty Consultant (APM 664)
Faculty, as defined in APM – 110-4-15, may receive additional compensation for occasional consultant services on projects conducted under the auspices of the University, provided that the faculty member is not regularly engaged on the project. This allows the University to engage a faculty member for their expertise instead of hiring an outside consultant.

Awards and Prizes
Academic appointees may receive additional compensation in the form of an award or prize if the payment was a result of an established competitive process.

Any one-time payments outside of these three listed categories are an exception to policy, will require additional justification, and will be reviewed on a case-by-case basis.

All one-time payments must align with University policy and require approval by UCI Office of Academic Personnel:

  1. Before these payments are offered to the academic appointees; and
  2. Prior to the payments being processed in UCPath.

We will be offering a one-time payment training session and would encourage any staff who are involved in the one-time payment process to attend.
