University of California policy requires that outside professional activities do not interfere with a faculty member’s full-time commitment to the University.

All faculty are required to file an annual certification of outside professional activities each fiscal year, even if the faculty member did not engage in outside professional activities during the year. Faculty must report annually all Category I and II outside professional activities conducted during the prior 12 months, July 1, 2020 through June 30, 2021. The reporting of the annual certification must be completed via the University of California Outside Activity Tracking System (UC OATS).

On September 15, 2021, faculty received the first of several email notifications from UC OATS and the annual certification button became available in the faculty’s UC OATS workspace. The annual certification is due to the Office of Academic Personnel no later than January 15, 2022.

Deans and Faculty Administrators (100%) are also subject to completion of the Annual Certification in UC OATS.

As a policy clarification, the following individuals are not required to submit the annual certification for academic year 2020-2021:

  • Newly appointed faculty who started on or after July 1, 2021.

Faculty Not in Compliance

Effective immediately, faculty who have not completed the annual certification in UC OATS for academic year 2018-2019 and/or 2019-2020 are subject to loss of privileges including:

  • Loss of sabbatical leave approvals;
  • Will not be issued salary increases associated with merits/promotions;
  • Ineligibility to participate in special salary programs;
  • Loss of good standing in the Health Sciences Compensation Plan (if a Member).

Privileges will be restored when the faculty member completes the annual certifications for academic year 2018-2019 and/or 2019-2020.

IF faculty have been in communication with the UC OATS team and are currently waiting for their outside professional activities and annual certifications to be accepted, they will not be subject to the loss of privileges listed above.

Faculty who do not complete the annual certification for academic year 2020-2021 by January 15, 2022, will also be subject to the loss of privileges listed above.
